Time Clock / Employee Time Tracking

Hey all!

We have approximately 20-25 W2 employees who clock in and out using the ADP app. Processing payroll has recently been a hassle due to time discrepancies.

Adjusting time cards for each employee is not only time-consuming but can be very costly if things are missed over time.

What have you found to help with maintaining accurate time cards for employees? Please paste the link to any hardware you use. I'd love to see what systems you all use for employees to clock in physically instead of over the cell phone.

  • You're in the Jobber forum. Why not just use the Jobber Timesheets? I love the geo tagging of when they clock in and out and then I compare it to the Fleetsharp data if there's a discrepancy.

I understand how Jobber Timesheets might work well for a single technician, where each individual has their own Jobber account. However, in our case, we have crews of five, and only the foreman has access to the phone with Jobber to view job schedules and start times when work is dispatched.

Our team setup doesn’t typically allow for everyone to clock in individually. Each crew member has specific roles, including drivers who take additional time to fill up the vehicle at the yard and park it at the end of the day. By the time this happens, the rest of the crew has already clocked out, leading to a time difference of about 10–15 minutes, depending on whether all crews are finishing at the same time.

This workflow makes it less practical for us to use Jobber Timesheets in the same way.

I like the suggestion from BeesKnees

I believe T-Sheets also offers geo-tracking as well, but you may want to check.

We use Lathem Time Clocks along with their PayClock Online system, which allows access from anywhere with an internet connection. Even while on vacation, it takes me less than 30 minutes to process payroll for our 23 workers!

The setup is simple—just connect the time clock to the internet via an ethernet cable, and the rest can be managed from any computer with internet access through PayClock Online. So far, it has worked great for us!
