If I could hand off one task in my business today, it would be client follow-ups and scheduling.
Running a painting company involves much more than completing the actual painting. Every project requires communication from the initial estimate all the way through project completion. I’m constantly following up on estimates, answering client questions, confirming signed proposals and deposits, scheduling projects, coordinating with our project managers and crews, sending start-date reminders, and making adjustments when weather or other projects affect the schedule.
Keeping all of those moving pieces organized takes a significant amount of time each week. Having someone dedicated to managing follow-ups and scheduling would help us provide even better communication to our clients while allowing me to spend more time building relationships, networking, bringing in new business, and focusing on the overall growth of the company.
I'd build this around a few clear stages: estimate sent, proposal signed, deposit received and start date confirmed. Each stage can trigger the right follow-up or reminder, with customer questions routed to one person. For weather delays, have the project manager confirm the new date before updates go to the client and crew. That would take a lot of repetitive communication off your plate while keeping schedule changes coordinated.
