Job Costing → Invoicing: Eliminate Duplicate Data Entry
If I could hand off one task today, it would be the process of transferring all job costing and job information into the final invoice.
Right now, I’m practically entering the same information twice. Throughout a job, we are already entering and tracking important information in Jobber : purchase orders, supplier costs, materials, labour/time, job addresses, job details, expenses, and other job-related information. When it comes time to invoice, however, our AP department has to go back through the job, gather that information, and manually copy much of it into the invoice.
This creates a significant amount of unnecessary back-and-forth. We have to review the job, check POs and expenses, confirm labour and materials, verify the job information, and then re-enter or transfer everything into the invoice. Not only does this take a lot of time, but manually transferring information also creates more opportunity for something to be missed or entered incorrectly.
Ideally, I would love for the invoice to be automatically populated using everything that has already been entered and tracked within the job. This could include:
- Job/customer information and service address
- Purchase orders and PO details
- Materials used and associated costs
- Labour/time entries and hours
- Job expenses and other job costs
- Job descriptions, notes, and relevant work details
- Any other billable information already associated with that job
From there, we should be able to review and edit the invoice before sending it. That flexibility is important because not every company or even every job, is invoiced exactly the same way. We may want to change descriptions, combine certain items, remove internal information, adjust how labour or materials are displayed, or format the invoice differently depending on the customer.
The goal would be to have one continuous flow of information from Job Costing → Job Completion → Invoicing, rather than treating the invoice like a separate process that requires us to rebuild information Jobber already has.
This would save our office/AP team a substantial amount of administrative time, reduce duplicate data entry, minimize errors and missed costs, and make the entire process from completing a job to sending the final invoice much faster and more efficient.
