Look, when a customer hits you on three different channels at once, it’s a recipe for chaos if you don't have a hard set of rules. Here is how you stop two people from stepping on each other's toes and giving conflicting answers:
Route every incoming lead—calls, texts, and web forms—into a single central system or shared inbox. Nobody handles customers out of personal phones or individual email accounts, period.
Put one person, like your office manager or dispatcher, in charge of initial lead triage. Before anyone replies to a text or form, they run a quick search by phone number or job site address to see if that customer already reached out somewhere else.
Whoever takes the job claims the lead immediately, tags it with their name, and changes the status to "In Progress." Any duplicate messages that come in get attached directly to that open record so the whole team sees it’s covered.
A live phone call always trumps a form or text. If someone calls after filling out a web form, whoever takes the call updates the record on the spot and clears out the pending form request so nobody else doubles up.
travisshepherd, I agree that a live call adds context a form or text can miss, and clear ownership keeps follow-ups coordinated. Are you using AI phone agents to help move work forward, such as capturing customer needs, updating records, and notifying the right person?
That’s something we’re working on at Lacy.ai.
Would it help your team if an AI could answer calls after hours, ask a few questions about the job, update your CRM, and let the right person know what needs attention?- travisshepherdVerified Community Coach
Thanks for reaching out!
For my own business operations, I handle customer calls directly to maintain a personal connection and nail down specific job parameters right from the start, so I don't currently use AI phone agents.
That said, after-hours intake and automated CRM routing are definitely major pain points for growing teams—especially when it comes to capturing key project details after hours and preventing leads from going cold.
If your platform can reliably extract accurate technical details and sync them smoothly into a CRM without requiring heavy manual cleanup, it'll definitely be a strong asset for teams looking to scale their intake without adding extra coverage. Best of luck with what you're building at Lacy.ai!

When you try to add two different clients to Jobber with the same name, it will actually recognize that, so in theory, what you're talking about shouldn't really happen.
We have one person in charge of requests. So if a client did reach out in different ways, they would all end up at the same person.
