This is always a tough call, but since you're on a per-project basis, you’ve got a lot more flexibility to walk away cleanly without making it a whole dramatic thing.
Here are a few strategies that keep it professional and headache-free:
- The "Busy Schedule" Pass (Your Current Plan): Next time they reach out, a polite "Our schedule is completely booked out for the foreseeable future, so we won't be able to take this one on" works great. No arguing, no defensive back-and-forth—just a clear line.
- The "Priced-Out" Buffer: If you don't want to outright say no, raise your price to a level that either makes the headache worth it or guarantees they shop elsewhere. If they accept, at least your margin covers the extra stress.
- The Specialty Scope Hand-off: Frame it around fit rather than fault. Something like, "We're shifting our focus strictly to [specific core services] moving forward, so we wouldn't be the best fit for this project."
- The Clean Referral: If you do pass them along to another contractor, just make sure that contractor knows what they're walking into so you don't burn a bridge with a peer!
At the end of the day, protecting your schedule and mental bandwidth from "quicksand" jobs is just good business. How bad was this particular job—was it constant scope creep, or just impossible expectations?
