Collections

We have found a major piece missing from Jobber is a section for Collections. How do you handle collections?  We have multiple jobs for one client and when calling on overdue invoices there isn't a section where the notes can be kept that relates to just collections--don't want to muddy the info available on specific jobs as the collection notes relate to multiple jobs.  Love to hear your ideas or apps or anything to streamline within Jobber.

  • I would maintain notes under each invoice as to where you are in the collections process. And then refer to the invoices report to see what you still have to collect on.

And to systemize things a step further, come up with a strategy to avoid collections as best as you can. I don’t know what industry you are in, but we take credit card numbers for all residential clients and it is required to get on our calendar. This way if they don’t pay us upon completion of the job we auto charge the credit card. Hope this helps.

  • Until Jobber addresses this issue specifically, using the internal notes section on each individual invoice has been my best resource and tool for tracking collection attempts.

I like to use a coding system for my notations. For example, "10/24/24 - LM, EMd & TXd Inv., EMd stmt. mm." The translation being on 10/24 I left a message, then emailed and texted the invoice and also emailed a statement to the client. I use LF as my code when late fees are added to the invoice.

When I reach a client by phone, my note will say something like "10/24/24 PC (phone call) - client said they would pay by the 1st." Being able to keep track of what a client has said (or what I have told them) has been incredibly useful.

I prefer to keep the notes on the invoice instead the client's main page so that other staff members who are not involved in accounts receivable are not privy to this somewhat sensitive information.

I utilized a collections agent many years ago to help nudge a few non-paying clients into paying up. What about utilizing the internal notes section for that specific client in Jobber??
