Capture every inbound touchpoint in one place first. Whether it arrives by phone, a text, a website form, or a direct message, it should land as a contact in Jobber with a timestamp and a source tag. If a call drops to voicemail, the voicemail transcription or the missed-call notification still becomes a contact. That's the thing that actually stops leads from leaking when the owner can't take the call.
Self-scheduling works best as the second step, not the first. Most homeowners calling in still want a conversation to feel safe about price and scope. The pattern that scales without friction is usually: quick human-or-voicemail acknowledgement that sets expectations, then a scheduling link they can tap when they're ready. If you enable self-scheduling inside Jobber, restrict it to services with a fixed scope and published rate (gutter cleaning, seasonal tune-ups, standard inspections) and keep custom work off the public calendar. That gives people a frictionless path for the work you can price without a conversation, while quotes for anything custom still go through your normal flow.
After-hours is where most teams lose the lead. If you don't have live coverage in the evenings and on weekends, set a consistent voicemail greeting that names your actual response window and the next best way to reach you, and turn on Jobber's request notifications so an inbound in off-hours still creates a contact and a task for first light. A 6am "got your request from last night" message beats a same-day reply that lands six hours after the call.
Qualifying without adding a step. You can put a short set of custom fields on the website request form (service type, address, urgency, budget range) and mirror those same questions in your standard intake script. Whether the inquiry comes through the form or over the phone, the answers land in the same contact fields and the dispatcher can read the lead the same way. That's how you get qualified and on the calendar without someone having to babysit the pipeline.
If you've been running inbound through one person's phone and it's starting to bottleneck, I'd run a week-long test: leave self-scheduling off, audit how many inbound inquiries are phone vs form vs text, measure the median time-to-first-response by channel, and document where the drops happen. Setup that kept texts and emails from leaking: anything that rings or texts the office number flows through Quo and lands as a lead in Jobber using the phone number as the match key. For email, funnel every inbound address into a single shared mailbox, then forward that mailbox into a Jobber email form so each message opens as a request with a timestamp and source tag. If a homeowner writes twice, the second message still becomes a contact instead of sitting unread.
Two habits that make it hold: move the company number off any personal phone before you go on vacation, and run a once-a-day sweep for contacts created without a related estimate or job. Those are the ones that slipped between intake and follow-up.
