What’s the ONE seasonal chore you dread doing yourself every year?
As the seasons shift, home maintenance lists get long fast. Between exterior cleaning, system check-ups, and yard prep, there’s always that one task everyone hates tackling on a weekend. If you could completely hand off ONE seasonal maintenance task to a pro forever, which would it be? A) Gutters & Roof Clearing B) Pressure Washing / Exterior Scrub C) HVAC / Heating & Cooling Tune-Ups D) Lawn Aeration & Overseeding E) Something else (tell us in the comments!)What’s the single biggest bottleneck holding your business back right now?
Scaling a home service business comes with constant friction points—whether it’s finding reliable techs, dealing with last-minute cancellations, managing cash flow, or keeping up with quote follow-ups. If you could magically solve one operational headache in your business overnight, what would it be?
How do you estimate cleaning time before sending a quote?
I’m curious how cleaning business owners estimate labor time before sending a quote, especially for a new property. Square footage and number of rooms are easy to get, but things like buildup, clutter, pets, bathrooms, and the overall condition can change the actual cleaning time quite a bit. Do you usually estimate from experience, use a formula, ask for photos/videos, or visit the property first? And how often does the actual cleaning time end up being very different from what you originally estimated? What's your protocol for handling unexpected property damage on site?
Accidents happen no matter how careful you are. When a crew member accidentally breaks a light fixture, cracks a paver, or damages something on a customer's property, what is your immediate step-by-step process? How do you communicate it to the homeowner, and what is your policy for handling the repair or credit? What’s Your #1 Go-To Strategy for Handling Last-Minute Schedule Changes?
Managing a full schedule of service calls is hard enough, but last-minute cancellations, unexpected delays, or emergency add-ons can completely throw off your day. Every business handles these curveballs a little differently—some use automated dispatching and instant customer messaging, while others keep a dedicated buffer in their daily routing or have a strict cancellation policy in place. When your day doesn't go according to plan, how do you keep your crews efficient and your customers happy without losing your mind? Drop your best tips, software workflows, or field policies below!
How are you handling admin overload as your cleaning business grows?
Hi everyone! I'm Pat, a VA who's spent some time supporting cleaning and home-service businesses (scheduling, client comms, invoicing, social media, lead gen) — and one thing I keep seeing across owners is how fast admin work piles up once you're managing a team and a growing client list. Curious how others here are handling it; are you doing it all yourself, has anyone brought on part-time help, or found tools/workflows that made a big difference? Would love to hear what's worked (or hasn't) for you. What's your go-to method for handling late-paying commercial clients?
Commercial accounts are great for volume, but waiting 30 to 60 days on payments can put a real dent in cash flow. We’ve tried everything from upfront deposits to offering small discounts for early payment, but some property managers still drag their feet. How do you handle past-due commercial invoices without burning the bridge or losing the contract? How do you handle customer call-backs without losing your shirt?
We’ve all been there. You wrap up a job, step back, everything looks solid, and then two days later the client calls about a spot that got missed or a detail they aren't totally happy with. In my own business, I try to handle touch-ups fast to keep the client relationship solid, but balancing quick response times with protecting your day's schedule and your profit margins gets tricky real fast during peak season. I’m curious how you guys handle fitting non-urgent call-backs back onto the schedule. Do you drop everything and fit them into the very next available slot, batch them all together for a specific day of the week, or handle them a different way? Also, where do you draw the line between a quick complimentary fix and something that needs a whole new quote? I'd love to hear how you guys run this in your day-to-day routine to keep clients happy without constantly derailing your entire day.
