Feature Request: Proper Maintenance Plan Management & Equipment Tracking
We run an HVAC business and recently moved to Jobber. One of our biggest frustrations has been the lack of proper maintenance plan management. Right now, everything requires a workaround using quotes, recurring jobs, invoices, custom fields, and manual tasks.
I'd love to see two connected features: Equipment Management and Maintenance Plan Management.
The Problem & Current Workarounds
Here's what we currently have to do just to enroll a customer in a maintenance plan:
- Create a quote using a template with multiple plan options, then manually remove unnecessary line items and adjust quantities based on the number of systems.
- Get the quote / agreement signed and approved, convert it to a job, create an invoice, and collect payment.
- Create follow-up tasks for our office to configure recurring billing, future maintenance visits, and renewal reminders.
- Manually track which equipment is covered, which visits have been used, and whether the agreement is active.
- Manually apply membership discounts and account for maintenance visits already included in the plan.
This can easily mean an estimated 20-30 minutes of setup per agreement, not counting future administrative work. Multiply that by hundreds of memberships, and it becomes a serious scalability issue with plenty of room for human error.
What We'd Love to See
- Equipment Management - A dedicated equipment section within each property where we can:
- Add individual systems and components with model/serial numbers, manufacturer, installation date, warranties, photos, and custom fields.
- Associate jobs, checklists, repairs, and service history with specific equipment.
- Track equipment-specific maintenance readings and history.
This should be a standalone feature, not something exclusive to maintenance plans. We service equipment, not just properties!
2. Maintenance Plan Management - A dedicated feature to create and manage service agreements:
- Plan templates: Configure pricing, included visits, membership discounts, agreement terms, and renewal settings.
- Equipment-based enrollment: Select exactly which systems are covered, with automatic pricing for additional systems.
- Simple signup: Technicians select a plan, choose equipment, collect a signature and payment, and activate the agreement directly from the mobile app.
- Online self-service signup: An embeddable or shareable maintenance plan signup form for our website. Customers choose their plan, select the number of systems, provide equipment details, sign the agreement, pay, and schedule their first service. Everything should automatically create the agreement in Jobber without any manual setup.
- Automated scheduling: Track included visits, generate maintenance jobs, and send reminders when visits are due. Support seasonal scheduling windows rather than rigid recurring dates.
- Automated billing: Support monthly, quarterly, or annual payments independently of visit frequency, with automatic renewals, payment retries, and reminders.
- Automatic benefits: Recognize active memberships and apply eligible discounts or included services to quotes and jobs.
- Agreement management: Allow admins to update, pause, cancel, or renew agreements and change covered equipment.
- Client Hub: Let customers view their coverage, upcoming visits, remaining benefits, and renewal dates.
- Reporting: Track active memberships, recurring revenue, upcoming renewals, overdue maintenance, and cancellations.
The Ideal Workflow
A technician opens a customer profile, chooses a maintenance plan, selects the equipment being enrolled, and collects the customer's signature and payment.
Done. Jobber automatically activates the agreement, tracks covered equipment and included services, manages billing and renewals, and prompts scheduling when maintenance is due.
No separate recurring jobs to configure. No administrative follow-up tasks. No manual tracking across disconnected features.
Why This Matters
Maintenance agreements are a huge part of building predictable recurring revenue for home service businesses, particularly in HVAC. But the administrative overhead shouldn't grow alongside the membership count.
These features would save time, reduce billing and scheduling mistakes, improve the customer experience, and make it much easier for businesses to scale.
This would be valuable well beyond HVAC, including plumbing, electrical, appliance repair, pool service, and any business maintaining customer equipment.
Would love to see Jobber invest in a proper solution rather than leaving businesses to piece together workarounds!
