Managing Fill in Jobs

Hi Community!

One challenge we face is keeping track of fill in jobs or jobs that need a follow up visit but dont know exactly when it will happen. Having one central location or a way to keep track of all of these for easy reference would be key. We try to use the job status' as much as possible but turns out this does not always work.

The work around we have done is creating a new customer named "Fill In" then created a new job titled "Fill In Jobs List". Now techs or **bleep** can add a new line item with scope of work, estimated duration and job number. Each new line item represents a separate fill in job. This puts all our fill ins in one location and we can reference it then direct to the job number in Jobber for scheduling. This works but don't feel its scalable. 

Curious what others have been doing for this!

    Not sure if this is quite what you mean, but kind of sounds like a feature I could use too. My workaround was to create a couple of extra users so it's easier to find those visits in the schedule.

    One is named "unconfirmed appointment" the other is "cancelation list".  In the team settings, I have their colours listed last, so they will always show up on the calendar if they are assigned to a visit.

    The first, I use as a placeholder so I can quickly see it's an easy visit to shuffle around. Once the visit is confirmed, I remove that user from the visit.

    The other one sometimes has an appointment, but often sits in my unscheduled visits. When I need a filler, I can check there for jobs that show up in the right colour.

    I meant, "Now techs or project managers" but it entered "**bleep**" where I abbreviated project manager (PM)

  • Hi Carson, if you create a client and a job but the job has no details and you can select “Schedule Later,” you can then find the job later to schedule it if you click the search icon at the bottom of the app, then choose Jobs, then across the top, you can filter through different categories and if you select “unscheduled,” those jobs that are unscheduled would show up and your team could select the job they’re ready to schedule. Would that solve your issue?

    I have a similar issue. I have recurring customers that want their gutters cleaned in the spring, and others in the fall. Because of the unpredictability I can't choose dates far in advance. 

    I put the spring visits under May 1 and fall into Nov 1. As time gets closer we move the visits around to their actual dates. I wish there was another way around this that wouldn't muddle up my calendar.
