The Tools That Save Time vs. The Tools That Add Overhead

I’ve gotten a lot more interested in building tools around how my business actually operates instead of trying to force the business into whatever software already exists.

Claude has been a big part of that.

I’ve used it to help with admin automations, KPI reporting, dashboards, churn analysis, and small internal tools built around the way Salazar Scoops actually runs.

That’s where I think this stuff gets really powerful.

Not because it’s AI.

Because it can take information we already have and turn it into something we can actually use.

I can look at route performance, customer behavior, retention, revenue, staffing, or other operational data without spending hours manually piecing everything together.

The test for me is pretty simple:

Does this give me better visibility, save real admin time, or help me make a better decision?

If yes, I’m interested.

If I’m spending more time maintaining the system than using what it produces, I’ve probably overbuilt it.

I’m curious what other owners have built specifically for their own business instead of buying another off-the-shelf tool.

I agree. I think moving forward here, we're going to have basically Jobber that you pay for, plus a bunch of bolt-ons that are personally vibe coded so that those bolt-ons are personal to us.

We have a production board that we currently use that I vibe coded, fully connected to Jobber. I think, though, I might turn this over to Jobber projects. We'll see. I need to test it out.

We have a dashboard pulling metrics out of Jobber, showing them to us in a more custom way than what I typically would get from Jobber.

I have several Grokbots doing many different jobs, so this isn't something that I vibe coded. More of just an agent doing something for me that I would have never done myself. Or maybe there's not a product out there that already does it. Regardless, those are basically free.
