Track Employee Mileage

We run a property services company, with each of our employees using their own vehicle for work. Our employees are all paid out their mileage reimbursement each pay day. We require a report with all their KM (we are in Canada) each week. I am wondering what you are all using for employees to track and submit their miles/km?

    PlanetGPS trackers off Amazon. Just plugs into the vehicles OBD. You could have your employees just plug it in at the beginning of their shift and then unplug it if they don’t want you to be able to see them outside of work hours.

    I think it’s like $90/yr and the devices are like $30-50, can’t remember what I paid. 

    You can see the route travelled, and it does mileage reports by date/time. It has all sorts of reports and feed back data. Even aggressive driving, braking, speeding, geofence alerts.. etc. 

     I don’t track mileage but I got them a few months ago in my vans just to try and improve productivity, found one of my techs doing over 1000km/mo on a leased van outside of work hours. 🥲

    Hey Canadiana! Have you considered FleetSharp Tracker Devices

    FleetSharp offers a variety of reports including statistics like engine diagnostics, safety reports, idling reports, route replays, and mileage! Maybe this might simplify your process without having to have your employees submit weekly reports? 

    I'm curious to hear from other community members as well.

      Hi Julie,

      We did look at Fleet Tracker and it looks great, however it looks like it only works with a device that is installed in the vehicle. However all of our employees use their personal vehicles for work and are reimbursed mileage. So the option of installing a device in their personal vehicle is not an option.

      Since Jobber already tracks their timesheets with GPS tracking using their mobile phones, we were hoping there was an easier way that we can track mileage in jobber without having to use another app outside of Jobber like MileIQ.

      I am curious to hear how other community members handle this as well?

        Hello!  I have this same situation.  We have a starting location and have precalculated the mileage from the start location to the client.  Also, we have mileages for client to client and back to our starting point.  These are tracked and stored using an excel sheet.  The employee then gets paid for their calculated travel for their work week. It is expected they start at our base location and go client to client.  Pay in our state is not required if they start from another location and go to their first client.  It is also not required in our state to pay mileage reimbursement.  It is just something we do.
