Automation

We started using automated follow ups for quotes, reviews, etc. but the automated messages wouldn't stop once we heard back from them. A lot people got mad and thought we were just pestering them. Is there a way for the automation to stop once we receive a message back from the client? I think it only stops once they approve a quote. I have found this to be very counterintuitive as it is a broken way for automation to work with following up. I could be missing a setting and be completely wrong but what as the experience been with everyone else?

    Ah, I hear you—that default quote follow-up loop is one of the most frustrating things to run into. Nothing turns a warm lead cold faster than sending a canned "Just checking in!" text two minutes after they already replied to you.

    ​You aren't going crazy, and you're definitely not the only one who's run into this wall. Here is how that system is actually set up and a few ways people handle it:

    • The Quote Approval Trigger: You're spot on about how the default quote follow-ups work. The automated sequence is hard-coded to stop only when the quote status changes to Approved or Changes Requested. It doesn't automatically detect a standard incoming text or email reply as a stop-trigger.
    • The Quick Workaround (Manual Pause): Right now, if a client replies directly with a question instead of clicking the quote link, you have to manually jump into that quote and either change its status, archive it, or adjust the follow-up setting on that specific estimate to kill the queue. It's annoying, but it stops the pestering.
    • The "Short & Light" Strategy: Because of this exact limitation, a lot of people shorten their automated sequences to just 1 or 2 quick follow-ups spaced out further (like Day 2 and Day 6). That way, if someone replies off-script, there aren't 5 more texts queued up behind it waiting to annoy them.
    • Third-Party Integrations: People who want a true "pause on reply" trigger usually end up routing their leads through tools like Zapier or dedicated messaging apps that can detect incoming text keywords and automatically pause workflows.

    ​It’s definitely a feature the community constantly asks to be updated—an automatic "pause on incoming reply" toggle would save everyone a ton of awkward customer conversations.

  • If your platform supports it, edit the automation so the first step checks for any inbound reply before sending the next message. If a reply is detected, either remove the contact from the workflow or move them to a different stage (like "Customer Responded") so the remaining follow-ups are skipped and the conversation becomes manual. If there isn't a built-in trigger for that, it sounds like a feature worth requesting because it's a much more natural workflow

  • Yes, but they skip that and still get mad. Often times they will respond to the first message and say they are waiting on HOA approval or something. The automation should stop there because they replied. Instead it continues on with the sequence.
