With yourself, one outside sales rep, and a field crew, the company line works best when it stops routing to whoever happens to pick up. Two things that hold up as you scale.
First, ring to a single desk during business hours instead of to-ring across personal phones. The person at that desk has one job: a short intake and an immediate next step. A five-line intake note that everyone follows — who called, service, address/neighborhood, timeline, budget range, best callback number — takes about a minute and leaves the sales rep a complete lead instead of a voicemail to chase.
Second, confirm the intake the same call with a text. Before hanging up, ask whether they'd like a quick text that repeats what you jotted down and names who will follow up and by when. That single text is what stops the prospect from calling a competitor while your rep is on an estimate. When the desk person is out or the phone rings after hours, a straight voicemail with a consistent greeting beats any complicated routing.
