What’s hardest to keep under control as your business grows?

As your business grows, whether you’re solo or leading a team, what’s been the hardest thing to keep on track? Have you built a system for it yet, or are you still figuring it out?

In this episode of Masters of Home Service, ryaantuttle and WiringByron covers:

  • Why getting busier without systems creates more chaos
  • The importance of locking in cash flow, business plans, and org charts before growth
  • Simple processes (like estimating and invoicing) that make scaling easier

For sure the hardest thing to manage is all the leads - We have leads coming from like 10 different places, and keeping track of where those conversations are in the sales process can be hard then once they are converted, what we can do with them. I'm working on a making a PM software on like airtable or something but we haven't gotten it ironed out yet. Jobber's sales tab is super solid but where the biggest opportunity for them is extending in to project management. Being able to make tasks and assign them would be a total game changer.

When leads are coming in from everywhere, just keeping track of who’s at what stage can feel like a job on its own. Love that you’re building something out to help solve it. Really appreciate your feedback too, I'll make sure it gets passed along. Thanks for sharing! :)

  • Keeping the quality.  Right now with the growth this is our biggest struggle.  From booking to the actual work to make sure all the notes/information is in the job and it actually gets done.

That’s a big one as teams grow. Making sure the right notes and details actually make it from booking to the job can get tricky fast. Are you using anything right now to help keep that organized for your team?

One thing we use is a Jobber integration called LiveSwitch. It's video with AI built in. I do a virtual walkthrough with the client or an on site walkthrough with the client. That video is shared with the estimator / client / crew so that we are all on the same page. Also from the video the AI which can make you check lists / scope of work straight from the video. Check it out.

Judith, are you using Job forms heavily for quality control? / Maybe tied into a quarterly bonus plan with GSR meetings?

  • We really struggled with intake calls and keeping them organized. One person was in charge of answering, and sometimes they couldn't pickup or it was impeding field work. We were losing leads and losing vital information if we did answer. We implemented Quo this year and just from the few calls we've gotten it appears like it's going to be life-changing for our team!

Missed calls and messy intake can be such a headache when everyone’s busy in the field, so it’s awesome Quo is helping smooth that out! Thanks so much for sharing :)

Quality control can definitely get harder as the team grows. Have you found anything that helps keep everyone consistent on jobs, or is it still something you're working on?
