How do you manage as an owner to focus your time when your doing tasks?

I highly recommend to understand your your learning style and observe your personal work behaviour for me. I work best when there is some form of background noise, which would help me ultimately focus, and that may not be realistic for most people but for me, I get distracted very easily so what I like to do I go on YouTube and I search library ambient noise with timer and there is a video that has an hour on 10 minutes off which I will dedicate an hour focus time with that background noise and then 10 minutes off to do absolutely what I want to do whether that it is scrolling on Instagram whether that’s having a chat with a friend or family whether that is changing up to a different task that’s what helps me so I do Encourage you to understand what you’re working style is . Mind you that is for admin office work.

I recommend figuring out your circadian rhythm and chronotype if possible using that as a guideline on how you as a person operates and focus. From their then try and schedule your task within those time frames and dedicate a specific amount of time to each task.

. I wouldn’t love to know your employee dynamics..How often do you see one given employee within the week and my first suggestion is to have an honest conversation with your employees and ask them what that actually looks like for them what activities would you like to see implant either in work or offered to help reduce your stress and then you can determine if that’s something that you can actually implement or variation to it.
One thing I learned when it comes to business is the best business is the one who knows the market better the one who knows the market better do the best research. You can implement that within most areas of your business. The business that has the best employee morale has the better research and understanding of their employees.
The most accurate way to please your employees is to ask them how they can better show up and get that answer directly from them. Also if there is a manager or someone else that works really close to your team, depending on the dynamics of the scope of work you provide and not to sure what business you’re in then you can ask that individual and get an idea of the conversations within employees and what they’ve observed so that you could possibly give them a activity/ incentive that is gear too, but it would actually help them .

I am the Operations Manager for a window cleaning/pressure washing company of about 10 members total. I go out in the field at times as needed to accomplish the bigger jobs and I manage the crew, equipment, supplies, and help the Owner and and Office Manager with some marketing, and other tech related tasks. The other 7 field techs handle the brunt of the work and I try to keep things running smooth from an equipment standpoint and when/if there are any customer complaints the Office Manager usually passes them to me. We run in-house competitions at least twice a year with before and after pics. We let our Web Marketing company pick the winners anonymously to keep it fair.
We start the week with a brief shop meeting to talk about the work and train the crew on adjustments we're making as a company. Typically, we schedule a Monthly Lunch/Breakfast for more in depth conversations. We have been so busy the past few months, we've let that slip, so I know that is on the schedule to get back on track, but that seems to be the source of the burnout here. It gets really busy, and even though the crew is paid on salary, they seem to forget all the short days they get in the slow season or when we get rain out days. I want to be empathetic and give them everything that they ask for when it comes to specialty equipment to make their job easier, but what bothers me is the tone/attitude that we as the Admin crew don't care about them doing the "actual work" or "making the money" when that could be the furthest from the truth.
I'm trying to find a balance between being the friend and being their manager. If I give them everything they ask for, then they are in charge. If I don't, then it seems like I don't care.

I run everything for my business it is overwhelming at times I need to take mental health breaks where I don't answer the phone, email or texts! It sounds like you’re ready to get yourself a virtual assistant or an assistant and if you were in the call today, you would’ve heard that it is more expensive not to invest in that because of that fatigue and that frustration you need to offload that work. Take it into consideration it takes the team to scale and you’re doing an amazing job with 50 consistent customers believe me think to yourself if you got 50 more consistent you would know it’s time to get yourself some admin help

How do you decipher what tasks to delegate, which ones to automate, and what tasks to do yourself? I am constantly struggling to balance these when I know I can do it all, but fear I am going to burn myself out when I do.

It’s a great thing to know that self-aware and understand the outcome of not resolving and sorting this out it is burnout, and it can lead to resentment frustration trickle down to wanting to close on the business.
I once watched a video. It was titled what I would’ve done faster to become a millionnaire and the top three was delegate and for more reason than just mental. But also scalability you can do it all. There’s no doubt about that but in order for you you must delegate those down without knowing your business your numbers I can’t guarantee to give you the specific task that need to be delegated right away and or automated
but I can’t say your first sign would be the areas you tend forget, or silly make mistakes first are things you need to start automating or dedicating. Next tasks that you simply do not enjoy doing,delegate them.

How do you reconcile your needs vs employee or client needs?

This is a a layered question and I am always a person to go within and then take into the practical and move forward.
I would first question how aligned are you with your business and values? When was the last time you revisited them and understand why you’re doing what you’re doing; how it impacts you your future, impacts your employees and client needs. when’s the last time you revisit that question and got aligned with it?Next, this is also why it’s important to be aware of your business values and vision because you can then align your daily operations how you manage your business your employees and your clients to stay within that vision. Answering this question your daily operation. Your business should be serving those needs on a daily basis.
For example our values in my business is honesty, creativity and integrity. Everything that is done in my business how we communicate with our clients our team needs to be aligned with that because those are essentially that need to be met.
I’m hoping I’m understanding your question because there is that needs in regarding to relieve that stress and burn out and then theirs is because those are essentially the needs that need to be met. Have you found any success with methods like time blocking for managing the predictable and unpredictable? I feel like I come in with a plan most days and most of those days I only check a few things off of my list due to the unforeseen and unexpected.

I personally have not found success with blocking.
There’s nothing wrong with trying and figuring out what work for you
I have been doing very well with big threes. Daily biggest three task that need to be done today to move the needle in my business and it leaves me room to be flexible with other things.

I delegate as much as I possibly can without losing touch of what is happening in the overall picture.
I regularly schedule massages, etc to show love to my body. As well as making intentional food choices that I can contribute at my highest level as I scale.- ChaniqueContributor 3

In 2015 I found myself paralyzed from the neck down, in excruciating nerve pain, on a feeding tube, and laying in an ICU bed in case I quit breathing. I was seemingly healthy just 6 days prior. My immune system was triggered by burnout. I spent a total of 6 months in three different hospitals and had to learn how to sit up, stand, walk, talk, get dressed, and do life again. I missed a year of work and have permanent nerve damage in my face and haven't felt my feet in almost 10 years.
I was doing too much, saying yes to everyone and everything and ran myself down constantly. I had to rework my priorities both personally and professionally.
Self care that was helpful for me...
-I erased the words "I'm too busy" from my vocabulary when it comes to my family
-I start work later
-I only accept calls and answer texts during business hours
-I put my phone on silent when I need a break or have to work on myself or my business
-saying no to clients that aren't a fit for my business
-implementing tools to keep me organized
-quieting my mind by painting or doing crafts in my off time so I don't think about work when Im not working
-unplanned 1-2 day adventures
-take breaks when needed
-being a "good enough" mother/friend/cook/housekeeper etc.
-delegating and asking for help when I need to
-quit overpromising myself (this one is the hardest)
-connecting with other business owners
-reminding other work-a-holics that there isn't a client in the world that would be ok with them sacrificing their health and relationships for the work they requested.
-helping others brainstorm ways to reduce or delegate their daily workload- ChaniqueContributor 3

I appreciate you sharing that you start work later where a lot of new entrepreneurs or entrepreneurs caught in the hustle cycle think that 5 AM is the multimillionaire starter kit where I myself too will give myself late starts in the day because I’m actually night owl so I do my most productive work between the times of three and 6 PM . I love the fact that you stay true to what works for you making your life and your business work the way you desire to
